As a volunteer at World Cup Kvitfjell, you are an important part of the team that makes the event possible. To participate, you must have read and accepted these terms and guidelines.

BASIC TERMS OF PARTICIPATION

• You must be at least 16 years old to participate as a volunteer. Exceptions may be made in special individual cases.
• You are required to attend on the agreed working days and at the agreed times.
• You must be fit for work and free from alcohol and drugs throughout the working day.
• You must follow instructions given by the Head of Department, Assistant Head of Department and the Organiser.
• Certain roles may have specific requirements regarding age, experience, qualifications, physical capacity or number of working days.
• The Organiser may, when necessary, reassign volunteers to other tasks or departments to ensure the successful delivery of the event.

IMPORTANT INFORMATION ABOUT INJURIES OCCURRING DURING OUR EVENTS:

Hafjell-Kvitfjell Alpin AS has insurance coverage that applies to you if you are a Norwegian citizen, have a Norwegian national identity number, or have a D-number.

If none of these apply to you, you are not covered by this insurance. This means that you will not be entitled to compensation under this insurance if you are injured while working as a volunteer.

Before signing up as a volunteer, please make sure that you have your own insurance that covers volunteer work in Norway. If you do not, we recommend that you arrange appropriate insurance coverage.

WHAT YOU RECEIVE AS A VOLUNTEER

• Ski pass: You will receive a day pass for each working day if you work between 3 and 8 days. If you work 9 days or more, you will receive a season pass for Hafjell, Kvitfjell and Oppdal for the current season, referred to as the Fjellpass. Ski passes may be issued in advance but are conditional upon completion of all agreed working days in accordance with these terms.
• Accommodation: Accommodation may be offered if you live more than 75 km from the event area and require accommodation. Please see the separate section below.
• Other benefits: Other benefits may be offered as communicated on our website or through the Rubic app.

TERMS FOR SKI PASSES

Ski passes awarded through volunteer work are personal and may not be sold, transferred to another person or otherwise used for personal financial gain.

The right to receive and retain a ski pass is conditional upon completing the agreed working days and complying with the terms and guidelines for volunteers.

In the event of an unexplained absence, misuse of a ski pass or breach of these terms and guidelines, the right to the ski pass will be withdrawn with immediate effect. If a ski pass has already been issued, it must be returned to the Organiser without undue delay.

If the ski pass is not returned, or if it has been used after the volunteer has failed to fulfil their attendance obligations, the Organiser reserves the right to invoice the volunteer for the full market value of the pass(es).

Valid absence reported in accordance with these terms, including illness reported to the Head of Department as described in the section on attendance, absence and illness, will not result in the loss of benefits for the days concerned.

ACCOMMODATION AND TRANSPORT

• Accommodation is offered according to need and availability to volunteers who live more than 75 km from the event area.
• The Organiser determines which accommodation will be provided.
• The Organiser does not cover travel expenses to and from your home in connection with the event.
• Where accommodation has been assigned by the Organiser, necessary transport will be provided between the assigned accommodation and the event area during the event.
• Any special accommodation requirements must be communicated as early as possible.

ATTENDANCE, ABSENCE AND ILLNESS

Please arrive at the agreed time and place and be ready to begin work when your shift starts.

If you become ill or are unable to attend for another reason, you must inform your Head of Department as early as possible.

Repeated absence, failure to attend or breaches of these guidelines may result in the loss of volunteer benefits and the opportunity to participate as a volunteer.

SAFETY AND RESPONSIBILITY

Safety is a high priority at World Cup Kvitfjell.

• Always follow instructions from your Head of Department and the Organiser.
• Use the necessary safety equipment when required for your task.
• Wear clothing and footwear appropriate for your duties and the weather conditions.
• Report any hazardous situations, injuries or other circumstances that may affect safety.
• Show consideration for other volunteers, athletes, teams, spectators and partners.

The Organiser will provide the necessary information and training related to the role you will perform.

CONDUCT, WORKING ENVIRONMENT AND ETHICAL GUIDELINES

As a volunteer, you represent World Cup Kvitfjell and are expected to contribute to a safe, inclusive and positive environment.

All volunteers must familiarise themselves with and comply with our Ethical Guidelines. These guidelines apply to everyone involved in the event and form part of the terms of participation as a volunteer.

Discrimination, harassment, threatening behaviour, being under the influence of alcohol or drugs, or other inappropriate behaviour will not be accepted.

In the event of serious or repeated breaches of our terms, guidelines or Ethical Guidelines, the Organiser may terminate the volunteer's participation.

PHOTOS AND VIDEO

During the event, photographs and video recordings are actively taken by the Organiser's photographers. These photos and videos are used to promote World Cup Kvitfjell and to recruit volunteers through publication on social media and the Organiser's websites.

The material primarily consists of situational images from the event, although some images may show identifiable individuals. The legal basis for processing such personal data is the Organiser's legitimate interest in marketing and recruitment, pursuant to Article 6(1)(f) of the General Data Protection Regulation (GDPR).

As a volunteer at a large, public international sporting event, you should expect the event to be documented and promoted through photography and video.

COMMUNICATION

Rubic and Rubic Connect are our main communication channels for volunteers.

As a volunteer, you are responsible for keeping up to date with information distributed through these channels before and during the event.

During the event, you must follow the communication procedures applicable to your department. Your Head of Department will provide information about meeting points, working hours, tasks and any use of radios or other communication tools.

PRIVACY

Personal data registered as part of the volunteer registration process is used for the administration, staffing and delivery of the event.

Personal data is processed in accordance with applicable data protection legislation and the Organiser's Privacy Policy. Rubic is the data controller for personal data processed by Rubic for its own purposes.

ACCEPTANCE OF THE TERMS

By registering as a volunteer, you confirm that you have read and understood the Terms and Guidelines and the Ethical Guidelines for World Cup Kvitfjell 2027, and that you agree to comply with them.
